EVA Field Mapping Settings for Lead and Contact Creation

Overview


The Field Mapping feature in EVA Event Tech Hub enables seamless data integration between Salesforce Contacts and Registration Forms fields. This functionality ensures that contact details from Salesforce are accurately mapped to fields in a custom event form, facilitating smooth data synchronization for event registration and attendee management.

Below are are steps for how to Navigate to this feature on Salesforce:


  1. Open “EVA Event Tech Hub” App (Refer to “How to open EVA Event Tech Hub App”)
  2. Open Event Builder (Refer to the article “How to navigate to Event Builder”)
  3. Open Field Mapping Menu (Event Builder > Field Mapping Menu Page)


This document provides guidance on how to configure EVA Field Mapping Settings to automatically create Lead or Contact records upon event registration through Guest Login or New User registration.

 

Important Info:

  1. Upon Guest Login, the email address entered will be considered the Buyer’s email address   
  2. The fields displayed before the registration form are the required fields needed to create a Buyer record, based on the selected settings.
  3. If the Buyer record already exists in the system, EVA will skip the Buyer information step and take the user directly to the registration form.

Scenario 1: Creating a Lead Record for Both Registrant and Buyer

  1. In settings, mark both Event Setting and Buyer Setting options as Lead.

  1. Ensure that the Field Mapping Form created and saved for this setting includes all required fields mapped properly to allow Lead creation. You may also set this Field Mapping Form as Default for future use.

  1. Mark all fields required for Lead creation as Required. This ensures that users logging in as Guests must fill in the mandatory details before proceeding.

Scenario 4: Creating a Lead Record for Registrant and a Contact Record for Buyer

  1. In settings, mark the Event Setting option as Lead and the Buyer Setting option as Contact.
  2. Ensure that the Field Mapping Form created and saved for this setting includes all required fields mapped properly for Contact creation. You may also set this Field Mapping Form as Default for future use.
  3. Mark all fields required for Contact creation as Required. This ensures Guest users must provide the necessary Buyer details before proceeding.

 

Best Practices

·       Always verify that First Name, Last Name, and Email fields are marked as Required, since they are essential for record creation.

·       Test the Guest Login and New User flows after configuring Field Mapping to confirm proper record creation.

·       Maintain separate default mapping templates for Lead and Contact to streamline future event setups.
